Staff Donation Support Policy
Our Approach, Policy, And Distribution Of SWO Staff Support Donations
Purpose
This policy establishes guidelines for receiving, receipting, and distributing financial support given on behalf of staff members serving in the ministry. It ensures compliance with IRS regulations, accountability in stewardship, and clarity for donors, staff, and the ministry.
Policy Statement
- Organizational Control
All donations made to Snowbird Wilderness Outfitters are charitable contributions to the ministry, a registered 501(c)(3) nonprofit organization. In accordance with IRS regulations, the ministry maintains full discretion and control over the use of all donated funds. - Donor Designations
Donors may express a preference that their gift be used to support a specific staff member. While such preferences are welcome and will be honored to the extent possible, contributions remain the property of Snowbird Wilderness Outfitters and are used at the discretion of the ministry’s leadership to further its exempt purposes. - Use of Funds
- Designated staff support contributions are typically applied to the salary, ministry expenses, or support of the staff member indicated by the donor.
- Staff are permitted to raise or receive donations up to a maximum of 25% above their base compensation package, as determined by the Board of Directors.
- In the event that a staff member’s support needs are met, or the staff member transitions out of the ministry, any remaining funds will be redirected by Snowbird WIlderness Outfitters to similar ministry purposes.
- Acknowledgement of Contributions
All contributions are receipted by Snowbird Wilderness Outfitters in compliance with IRS requirements. Donors will receive a year-end giving statement reflecting their charitable contributions. - Non-Refundable Donations
Because donations are given to Snowbird Wilderness Outfitters and not to an individual, contributions are non-refundable, even if a staff member resigns, transitions, or is otherwise no longer serving in the ministry. - Accountability
Staff members supported through donor contributions are accountable to the leadership of Snowbird Wilderness Outfitters for the faithful stewardship of ministry funds and the fulfillment of their ministry responsibilities.
Conclusion
This policy ensures that Snowbird Wilderness Outfitters operates in compliance with legal and ethical standards, provides clarity to donors, and protects the integrity of both the ministry and its staff.
